Printing Labels With Word

Merge Data and Form

You can use Microsoft Word to print the client names and addresses from RTG Bills on labels.

The first step, exporting the client information from RTG Bills, was described here. The second step, adding field names to the file, was described here.

Now we are ready to produce mailing labels.

  1. Start Word. From the Word menu, choose:
    Mailings > Start Mail Merge > Labels
    You will see the Label Options window. Choose the type of labels you wish to print, for example:
    Label vendor: Avery US Letter
    Product number: 5160 Address Labels
    Click OK to exit this window.

  2. From the menu, choose:
    Mailings > Select Recipients > Use an Existing List
    In the Select Data Source window, select the file you created earlier, either address.txt or mail.txt, and click Open. You will see a document with the code Next Record in each label location except the first one.

  3. From the menu, choose:
    Mailings > Address Block
    In the Insert Address Block window, you should see a preview of a single address from your list. Click OK. The first label position now has the code AddressBlock.

  4. From the menu, choose:
    Mailings > Update Labels
    This will add the AddressBlock code to all of the label positions on the page.

  5. From the menu, choose:
    Mailings > Preview Results
    You should now see your addresses in the proper position on the page. Check that each label fits in the available space.

  6. To print the labels, choose:
    Mailings > Finish & Merge > Print Documents
    Or, to make changes before printing, choose Edit Individual Documents instead of Print Documents. That opens a new document containing the addresses. If needed, you can make changes, such as reducing the font size to fit a long address.
